    Data and documents enter automated processing, including unstructured and handwritten inputs.

    Customs declarations, AVI, CMR, bills of lading and commercial invoices are categorized and validated.

    VAT and EORI numbers and trade/transport certificates are cross-checked against official EU and national databases.

    Verification tokens, confirmation IDs or raw response logs are archived for every successful or failed query.

Requirements that apply to all components of the System.

    Preliminary & informational

    Data processing, audits and error detection are preliminary and informational. The System does not directly submit documents to state tax authorities.

  • 4.2

    Regulatory conformity

    Operation in accordance with EU and national law, including GDPR (EU 2016/679), GoBD in Germany and KSeF in Poland.

  • 4.3

    Tax filing integrity

    Officially submitted tax or accounting records are not altered retroactively. Post-filing adjustments are handled by the authorized tax advisor.

  • 4.4

    Data minimization & privacy

    Data minimization and limited retention. Non-essential personal data, such as drivers’ names or signatures on transport documents, can be masked or anonymized.

  • 4.5

    Human-in-the-loop verification

    In line with Art. 22 GDPR, negative validation results and discrepancies trigger a mandatory human review before automated operational blocks against third parties.

  • 4.6

    Regulatory logging

    Verification tokens, confirmation IDs and response logs issued by state databases are attached to counterparty or document profiles as compliance evidence.
